The Follow-Up Board: Sending Messages and Completing Follow-Ups

How Send Message works

When you click Send Message, DM Tracker checks whether the message can be sent directly from your dashboard.

If sending from DM Tracker is possible

(The contact has replied before and their reply window is open.)

  1. The chat opens right in DM Tracker.

  2. You type and send your follow-up.

  3. The follow-up is marked as done automatically. Nothing else to do.

If sending from DM Tracker is not possible

(The reply window has closed, or this is an outreach contact who has never replied.)

  1. DM Tracker forwards you to Instagram, where you send the message.

  2. When you come back to DM Tracker, one of two things happens:

    • The contact is known (they have replied to you before): DM Tracker detects your message and marks the follow-up as done automatically.

    • The contact is still unknown (they have never replied): Instagram doesn't tell us who received your message, so DM Tracker asks you: "Did you send the outreach?" Confirm it, and the follow-up is tracked correctly.

Messages you send from Instagram directly

Sometimes you'll reply to a lead straight from the Instagram app, without opening DM Tracker first. That's fine: DM Tracker detects your message and marks the matching follow-up as done automatically, so your board never shows follow-ups you've already handled.

One thing to know: when a follow-up is completed on Instagram directly, DM Tracker cannot see which team member sent the message. The follow-up will be recorded as done by an unknown team member. This is expected, not a bug.

Ending a conversation

No Follow-Up Needed still works the way you know it: use it when a lead has converted, is not qualified, or asked not to be contacted. The contact is removed from all future follow-up stages.
