How to use the follow-up board to keep track of leads

Overview


DM Tracker's automated follow-up tracking system ensures no leads fall through the cracks by intelligently staging conversations based on reply timing and follow-up completion.

The system automatically moves leads through customizable stages, helping you maintain consistent communication without manual tracking.

How Auto-Staging Logic Works


First Follow-Up Stage

The initial follow-up stage is triggered based on the lead's last reply. After X number of days from their last message, they will automatically appear in your first follow-up stage (e.g., "1-Day Follow-Up").

Subsequent Follow-Up Stages

After the first stage, the system tracks time based on when you completed the previous follow-up, not the original reply date.

Example Flow:

  1. Lead replies → System starts tracking

  2. 1 day later → Appears in "Stage 1"

  3. You mark as done → Timer resets

  4. 2 days later → Appears in "Stage 2"

  5. You mark as done → Timer resets again

  6. 4 days later → Appears in "Stage 3"

This progressive timing ensures appropriate spacing between follow-ups while maintaining consistent engagement.

Completing Tasks


Mark as Done

Use this when you've successfully followed up with the lead and want them to continue through the follow-up sequence. The lead will automatically move to the next stage based on your configured timing.

Mark as No Follow-Up Needed

Use this when:

  • The lead has converted/closed

  • The lead is no longer qualified

  • The lead has requested no further contact

Important: Marking as "No Follow-Up Needed" removes the lead from all future follow-up stages.

Undo Follow-Up Actions

If you accidentally mark a follow-up as complete or no follow-up needed:

  1. Locate the lead in your pipeline

  2. Select "Restore"

  3. The lead will return to their previous stage status

Overdue System


Overdue Timing

Follow-ups are marked as overdue after 1 day in any stage. Once a lead has been in the same follow-up stage for 24 hours without action, they receive an overdue badge.

Overdue Indicators

The system displays progressive overdue badges:

  • 1 Day Overdue

  • 2 Days Overdue

  • 3 Days Overdue

  • 4+ Days Overdue

This visual system helps prioritize which follow-ups need immediate attention.
